1.0 Scope

 

During the COVID-19 pandemic, Vekta USA employees and contractors may still be required to travel to perform essential work. It is our responsibility to ensure that this is done in the safest way possible and in accordance with all recommended health and safety regulations and advice.

1.1 Objectives of this policy

  • Define a clear decision making process before considering a site visit.
  • Ensure employees and contractors are safe and comfortable while on site.

2.0 Essential work

 

Essential work refers to a requirement of appropriate skills that are not available in the area, where provision of required service is time critical and requires that the person be physically present on site to guarantee customer’s business continuity and maintenance of competitive operations.

 

At Vekta, this work may include:

  • Perform essential repair work
  • Perform essential servicing
  • Perform installation of machinery

 

Essential work does not include preventative maintenance, training or drop-in visits.

3.0 Resolving issues remotely

Wherever possible, Vekta USA  employees should attempt to resolve any issues or repairs remotely. If it is deemed that the customer’s site does not have appropriately skilled personnel to carry out required repairs under Vekta’s remote guidance, we must explore the possibility of having a suitably qualified third party to attend the site. However, in some instances, this may not be possible or the level of skills required is beyond the contractor’s level of expertise.

4.0 Site Visits

 

If the site visit is deemed essential, the following steps must be taken to minimise risk of COVID-19 transmision to Vekta employees and others.

 

  • Increase level of personal protective equipment (PPE) and hygiene:
    • Wear long sleeve shirt and pants that to be washed after each site visit
    • Where appropriate, wear water-proof disposable gloves that are to be disposed off after each site visit
    • Avoid touching face, especially mouth, nose and eyes
    • Wash hands with soap as frequently as possible
    • Carry hand sanitizer and disinfectant with you at all times

 

  • Minimise direct and indirect contact through:
    • Having the machine to be worked on sanitised by Vekta employee or contractor prior to commencing work.
    • Having the machine that was worked on santised by Vekta employee or contractor following work being completed.
    • If possible, not have any other people in the area of work and if needed all communication to be done through a mobile phone. If not possible, maintain recommended 1.5 meter social distancing measures.

5.0 Machinery installations

 

If the installation work is deemed essential, the following steps must be taken to minimise risk of COVID-19 transmision to Vekta employees and others.

 

  • Increase level of personal protective equipment (PPE) and hygiene:
    • Wear long sleeve shirt and pants that to be washed after each site visit
    • Where appropriate, wear water-proof disposable gloves that are to be disposed after each site visit
    • Avoid touching face, especially mouth, nose and eyes
    • Wash hands with soap as frequently as possible
    • Carry hand sanitizer and disinfectant with you at all times

 

  • Minimise direct and indirect contact through:
    • Having the machine to be worked on sanitised prior to leaving Vekta production facility
    • Disinfect the machine being installed twice a day day
    • If possible, not have any other people in the area to be worked on and if needed all communication to be done through a mobile phone and team viewer. If not possible, maintain recommended 1.5 meter social distancing measures
    • Installing engineers to self isolate as much as possible by limiting any unnecessary travel beyond to and from work travel and to purchase essentials.
